What Documents Do I Need for a Merchant Cash Advance? The Complete Checklist

6 min readSeptember 28, 2026

One of the biggest advantages of a merchant cash advance over a bank loan is the paperwork: there's very little. A bank may ask for tax returns, financial statements, business plans, and collateral documents. An MCA file is built around one thing: your business bank statements.

Here's the full checklist: what you'll be asked for, why each document matters, and the mistakes that slow files down.

The Core Four: What Every MCA File Needs

1. A completed application. Basic business information: legal name, address, time in business, monthly revenue, the amount you need, and the owner's name and date of birth. At Lenifi, the online application takes about 2 minutes.

2. Three to four months of business bank statements. This is the heart of the file. Underwriting reads your deposits, average daily balance, NSF (bounced payment) activity, and any existing funding payments to decide what your business can support. Statements must be from your business checking account; personal accounts don't qualify.

3. A government-issued photo ID. A driver's license or passport for the owner signing the application, used to verify identity and prevent fraud.

4. A voided business check or bank letter. This confirms the business checking account that receives funds and pays them back. If your bank doesn't issue checks, a bank letter on letterhead showing the account and routing numbers works.

Why Bank Statements Matter More Than Anything Else

MCA approval rests on cash flow, not collateral. Underwriters read your statements for a few specific signals: consistent monthly deposits (steady revenue beats erratic spikes), a healthy average daily balance, few or no NSF events, few or no negative-balance days, and how many advance or loan payments already come out of the account.

The review also separates operating revenue from transfers between accounts and from money that came from other financing. Underwriters compare monthly revenue, average and lowest balances, returned ACH payments, overdrafts, existing daily or weekly debits, and ending balances to estimate a payment the business can realistically carry. At Lenifi, an average daily balance above $2,000 and fewer than five negative days a month mark a stronger file. They're guidelines, not automatic approval rules.

That's also why statements must be complete. Send every page of every month, even pages that look blank. Missing pages are the most common reason a file stalls: the underwriter can't verify the statement is complete and unaltered, so the file waits.

Documents That May Be Requested for Larger or Conditional Files

For larger funding amounts, or when the statements raise questions, a funder may also ask for: your most recent business tax return, a year-to-date profit and loss statement, statements for any other business bank accounts you use (underwriters can usually see transfers to accounts you did not disclose), and payoff letters or current balances for any existing advances or business loans.

If you have existing advances, disclose them up front with balances. It's always faster than having the underwriter find the payments on your statements. Undisclosed advances are one of the most common reasons approvals get withdrawn.

Common Document Mistakes That Delay Funding

Sending screenshots instead of statements. A screenshot of your online banking balance is not a bank statement. Download the official PDF statement from your bank's website for each month.

Password-protected PDFs. If your bank sends statements with a password, remove it or include the password when you submit. A locked file can't be reviewed.

Photos of paper statements. Photographed or scanned pages can be unreadable and often can't be verified. Send the original PDF whenever you can.

Submitting a personal account. Funding goes into, and is repaid from, a business checking account. If revenue runs through a personal account, open a business account before applying.

Hiding other bank accounts. If your business uses two or three accounts, send statements for all of them. Partial statements make your revenue look weaker than it is and can trigger a decline a complete file would have avoided.

How to Send Documents So Your File Moves Fast

Send everything at once. A complete file (application, 3–4 months of statements, ID, and voided check) can typically be reviewed the same day. A file that arrives in pieces restarts the review each time.

Use your funding desk's secure upload link instead of email attachments where you can. It keeps documents tied to your file and avoids size limits. At Lenifi, once your file is complete, a specialist reviews it and comes back with an offer built for your business, often the same day.

That's the whole checklist: application, 3–4 months of business bank statements, photo ID, and a voided check, plus tax returns or payoff letters only for larger or conditional files. Gather the core four and apply with Lenifi in 2 minutes. A specialist will review your file the same day.
